Strathallan is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement.
Strathallan may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. This policy is effective from 1st September 2008.
What we collect
We may collect the following information:
• contact information including email and postal address
• information about you and your child or children in relation to a school visit
• former pupil details as outlined below
What we do with the information we gather
We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:
• Internal record keeping.
• Provide documents or information specifically requested.
• Provide newsletters if requested.
• We may periodically send emails about informing you of up and coming events, Strathallan news or any other information which we think you may find interesting using the email address which you have provided.
• From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail.
• We may use the information to customise the website according to your interests.
Former pupils
Every former pupil automatically becomes a member of the Strathallian club and members can update their details and view other former pupils’ details on the website. Information provided on the Strathallian club directory details form is split into three categories:
Public information, including name and House. This information is made available via the directory to all website users –the general viewing public as well as other Strathallians.
Private information, including contact details and date of birth. This information is used only by Strathallan for fundraising, events, news and for school records.
Optional information, including occupation and biography. This information will be stored in the database and the member can decide whether this should be made public on the website.
Security
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
How we use cookies

• whenever you are asked to fill in a form on the website, look for the box that you can click to indicate that you do not want the information to be used by anybody for direct marketing purposes.

• as per the information regarding the former pupils area, a member can decide to provide details in the optional information section of the form and also whether this information can be viewed by the public on the website.
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen.

If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.
Data Protection Policy
General Statement of the School’s Duties Strathallan is required to process relevant personal data regarding staff, parents and pupils as part of its operation and will take all reasonable steps to do so in accordance with this Policy.
Data Protection Controller The Bursar is the School’s delegated Data Protection Controller (“DPC”) and will endeavour to ensure that all personnel data is processed in compliance with this Policy and the Principles of the Data Protection Act 1998.
The Principles Strathallan shall so far as is reasonably practical comply with the Data Protection Principles contained in the Data Protection Act to ensure that all data is:
* Fairly and lawfully processed
* Processed for a lawful purpose
* Adequate, relevant and up-to-date
* Not kept for longer than necessary
* Processed in accordance with the data subject’s rights
* Secure
* Not transferred to other countries without adequate protection
Personal Data Personal data covers both facts and opinions about an individual staff member, parent or pupil. It includes information necessary for employment, details of parents and pupils, educational and welfare reports.
Processing of Personal Data Staff, parents’ and pupils’ consent may be required for the processing of personal data unless processing is necessary for the performance of the contract of employment or service. Any information which falls under the definition of personal data and is not otherwise exempt will remain confidential and will only be disclosed to third parties with the consent of the individual.
Sensitive Personal Data Strathallan may from time to time be required to process sensitive personal data regarding an individual. Sensitive personal data includes medical information and data relating to religion, race, trade union membership, criminal records and proceedings, and performance. Where sensitive personal data is processed by Strathallan the explicit consent of the individual will generally be required in writing.
Rights of Access to Information Individuals have a right to access information held by Strathallan. Any individual wishing to access his/her personal data should put a request in writing to the DPC. Strathallan will respond to such written requests as soon as is reasonably practicable and in any event within 40 days for access to records and 21 days to provide a reply to an access for information request. The information will be imparted to the individual as soon as is reasonably possible after it has been brought to the notice of the DPC.
Exemptions Certain data is exempt from the provisions of the Data Protection Act in the following contexts:
* The prevention or detection of crime
* The assessment of any tax or duty
* Where the processing is necessary to exercise a right or obligation conferred or imposed by law upon Strathallan.
Accuracy Strathallan will endeavour to ensure that all personal data held in relation to individuals is accurate. Individuals must notify the DPC of any changes to information held about them. Individuals have the right to request that inaccurate information about them is erased.
Enforcement If an individual believes that Strathallan has not complied with this Policy or acted otherwise than in accordance with the Data Protection Act, the individual should utilise the School grievance procedure and should also notify the DPC.
Pupils’ Educational Records
Parents have a right to access their child’s educational records. The right of access does not cover other information about the pupil. If such a request is made, the School will make such records available for inspection within 15 school days. If a parent requires a copy of the pupil’s educational records, then a copy will be provided within 15 school days. Such a request needs to be made in writing or e-mail.
